Subject: Guidance about Handling Attachments for Incoming Liaison Statements
Hi all,
We briefly discussed during the last liaison manager meeting challenges when uploading attachments for incoming liaison statements. Very often we get statements in the form of word docs. The liaison coordinator discussed these challenges further and recommend to upload PDFs whenever possible. Ideally you request the other organisation to send us a PDF instead of a word, however, if that is not possible you can convert it yourself or, if you have problems with that, please reach out to us and we can help you.
If the other organization would prefer to record the word, that is still possible but we recommend to also upload a PDF in that case in addition. Another option to archive the original document is (in addition to the upload in the datatracker) to send it to liaison-coordination@iab.org. This list has an archive that is accessible by the liaison coordinators, even though that is not public.
If the liaison statement is received as attachment, you don’t have to fill anything into the plain text body field. While it is convenient for the reader to also copy the text from the attachment there, not duplicating information avoids discrepancies. Also it is only necessary to record the liaison statement itself (in this case the attachment) in the datatracker and not the content of the email that was sent to transmit the statement to us. Again if you would like to create a record beyond the liaison statement in the datatracker, you can always cc liaison-coordination@iab.org. This will also keep the liaison coordinator in the loop in case any further follow is needed.
